Job Description

Executive Assistant and Director of Administration for Property Management Company in Beverly Hills Location Beverly Hills, CA :

We are recruiting for an in-office Director of Administration / Executive Assistant to work with the owners of the company, as well as the Director of Operations, for a family-owned Real Estate Investment , Management and Development Company. The ideal candidate will be a detail oriented, versatile multitasker, that takes pride in one's work and is capable of leading by example. This individual must have a positive can-do attitude. Work experience which includes an understanding of commercial real estate, property management, and preparing applications and contracts is required.

Job responsibilities:

1) Preparation of documentation including loan applications with lenders, FNMA, HUD and other lender and entity requirements.

2) Transaction coordination of purchases and sales of multifamily properties including documentation, escrow and title coordination.

3) Prepare documentation and tracking reports for bank, private equity, hedge fund investments and brokerage accounts.

4) Maintain all documentation on Epicor (Docstar) document imaging system

5) Interface with VOIP vendor and IT consultant to ensure our electronics are operating at optimum performance and efficiency. Must be willing and capable of understanding and operating the administration of the day-to-day changes. Help organize and hold IT accountable for the company's inventory and operation.

6) Assist Director of Operations in preparing contracts, leases and other correspondence with lenders, staff members, vendors and residents.

7) Maintain entity documentation including amendments and annual filings. Familiarity with electronic filing software is a plus and will be a part of this position's responsibility.

8) Other administrative functions including ordering corporate office supplies. Fedex, mail, etc.

Job Requirements

  • MUST HAVE a minimum of 5 years of relevant work experience in commercial real estate and property management
  • Excellent follow-up and follow-through is required.
  • Desire to work in a fast-paced environment.
  • Able to multi-task different responsibilities without losing attention to detail.
  • Excellent written and verbal communication skills
  • Proficient in all computer applications MS Office applications such as Word, Excel and Outlook.

Software experience with Epicor ( Docstar) , Dropbox, Docusign a plus
